Operations Associate/Administrative Assistant

Job Description

The Operations Associate role is responsible for learning the specific administrative activities common to a public accounting firm and applying their technical skills to efficiently process client work, providing administrative support in the completion of the department’s goals and objectives, and assisting with internal firm administrative tasks and projects.

Essential Functions

  1. Service any client requests; respond to client communications in a professional and timely manner
  2. Responsible for the processing of individual and business tax returns, financial statements and all other client deliverables
  3. Provide general administrative support
  4. Maintain filing system of client documents
  5. Perform data entry and scan documents
  6. Electronic filing of client tax returns
  7. Administrative processing of billings and firm mailings
  8. Handles processing of client invoices and maintains daily posting of accounts receivables, including maintaining AR write-offs
  9. Various firm reporting
  10. Interprets and enforces administrative and operating policies and procedures for team members, while also keeping procedural documentation current
  11. Shares back-up phone and front desk coverage

Work Environment

This job operates in a professional office environment.

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. and additional hours including Fridays and Saturdays during Tax Season (typically February through April 15).

Requirements

  1. High school diploma required. College degree preferred
  2. Minimum of 3 years of progressive administrative experience. CPA industry experience preferred.
  3. Excellent communication skills – written and verbal
  4. Ability to prioritize projects and strong problem solving skills
  5. Must have the ability to multi-task in a fast paced and deadline driven environment.
  6. Proficient in the use of various MS Office programs, including Word, Excel, PowerPoint, and Outlook.
  7. Ability to maintain confidentiality of private and sensitive information and documents.
